Conference coverage usually needs three things delivered together: multi-camera video of every session, stills shot at the same time, and an edited output fast enough to be useful while the event is still current. Sourcing those separately means three suppliers coordinating in a room they have never seen.

Speakers and slides

The single most common failure in conference video is unreadable slides. Filming a projection screen gives you keystone distortion, moiré and blown-out whites — and the content is lost for anyone watching later.

We take the presentation feed directly from the source and composite it with the speaker in the edit. The result is a session recording where the audience can actually read the deck. For panels we cover each speaker separately so cutting between them looks deliberate rather than reactive.

Speaker audio comes from the house desk via a split, with our own backup recorder on the same feed.

Multi-room programmes

Congresses with parallel tracks are a logistics problem. We plan crew allocation against the published programme and agree in advance which sessions are must-capture. Where tracks overlap we either run parallel teams or place a locked-off camera in secondary rooms with a roaming operator covering the main stage.

File naming and delivery structure follow the programme, so you receive folders that match your agenda rather than a pile of unlabelled clips.

Notes for organisers coming from abroad

  • Interpretation: Where booths are in use we can record each language channel separately so sessions are delivered in the original and interpreted audio.
  • Sponsor obligations: Tell us the branding and visibility commitments early — they change camera framing and the stills brief.
  • Speaker consent: We work to whatever release the organiser has in place, and can flag sessions that are not to be recorded.
  • Venue access: We handle load-in and accreditation with the venue directly.
  • Language: Production runs in English; our crew briefs and deliverable lists are in English.

Frequently asked questions

Do you provide video and photography together?

Yes, with one team. For conferences this is usually the better arrangement — one point of contact, one accreditation process, and the two crews are not competing for the same positions.

How do you make the slides readable?

The presentation feed is taken directly from the source and composited with the speaker in the edit, rather than filming the projection screen. This is the difference between a usable session recording and an unusable one.

Can you deliver something the same day?

Yes. With an editor on site during the event we can deliver a highlight cut or social clips before the event closes. Full session edits follow in 10-15 working days.

Can you cover parallel sessions?

Yes. Crew allocation is planned against the programme; overlapping tracks are handled either with parallel teams or locked-off cameras in secondary rooms.

What about simultaneous interpretation?

Can the conference be streamed as well?

Yes — public, private or hybrid, with redundant connectivity. The same gallery serves both the stream and the recording.

How do you deliver the files?

Via a download link, organised in folders that follow your programme structure and session names rather than raw clip numbers.

How is the cost calculated?

Number of days and rooms, crew size, whether photography and streaming are included, interpretation channels, same-day delivery requirements and the number of edited outputs.
